CBJ Attorneys has a vacancy for an experienced CLIENT SERVICE ADMINISTRATOR.

Job Purpose

  • The Client Service Administrator provides administrative and operational support to client relationship managers and advisors. The role ensures seamless client experiences by handling documentation, processing requests, managing records, and serving as a key contact point for client queries.

    Client Support & Communication

  • Act as the first point of contact for clients, responding to inquiries via phone, email, or in person.
  • Provide timely updates and information to clients regarding their accounts, requests, and services.
  • Coordinate with internal teams to resolve client issues efficiently.

Administration & Documentation

  • Prepare, process, and maintain client documentation, agreements, and compliance forms.
  • Ensure accuracy and completeness of client files in line with company policies and regulatory requirements.
  • Support onboarding of new clients on portals.

Operations & Processing

  • Manage day-to-day client requests, including transactions, account changes, and service updates.
  • Liaise with operations, finance, and compliance teams to ensure smooth execution of client instructions.
  • Monitor deadlines, follow up on outstanding requirements, and escalate issues when necessary.

Compliance & Risk Management

  • Ensure adherence to regulatory standards and internal compliance policies.
  • Assist in audits, reporting, and internal reviews related to client accounts.
  • Always maintain confidentiality and data protection standards.

Skills & Competencies

  • Strong interpersonal and communication skills.
  • Attention to detail with excellent organizational skills.
  • Ability to manage multiple tasks under tight deadlines.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with CRM systems an advantage.
  • Problem-solving mindset and quality control approach.

Qualifications & Experience

  • Previous experience in client services, administration, or financial services support.
  • Knowledge of compliance
