Key responsibilities
- Office Administration: Ensure optimal functioning of the office's daily operations, facilities, and technological infrastructure. Manage general office administration and prioritise multiple administrative tasks, ensuring deadlines are met despite shifting priorities. Coordinate meetings, prepare agendas, and take minutes. Handle correspondence, documentation, and follow-ups with accuracy and attention to detail. Monitor and maintain office supplies and equipment.
- Financial Management: Implement budgeting, financial reporting, and billing, ensuring compliance with financial protocols.
- Human Resources: Manage general aspects, the recruitment, onboarding, training and performance evaluations of legal staff.
- Compliance and Risk Management: Enforce adherence to legal and ethical standards and proactively manage potential risks.
- Technology and Information Management: Manage the maintenance, integration and effective use of technology to enhance efficiency and client service.
- Client Relations: Develop and maintain excellent client relationships, ensuring high standards of service delivery.
- Marketing and Business Development: Drive marketing strategies and business development initiatives to expand the client base.
Education & experience
- A diploma in Business Administration, Marketing, or a related field.
- 3+ years of experience in an administrative and/or marketing co-ordination role, preferably within a professional services or legal environment.
Technical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) (GhostPractice advantageous)
- Solid understanding of digital marketing
- Familiarity with digital marketing tools and social media platforms
- Excellent written and verbal communication skills
